Title: Maintenance Planner
Reports to: Maintenance Manager

Full time position with guaranteed hours of 40 per week.

Position Overview

The Maintenance Planner is responsible for planning, coordinating, scheduling and overseeing maintenance operations across the hotel property, including all interior and exterior areas and associated buildings that impact hotel operations.

The role focuses on preventative maintenance planning, coordination of reactive maintenance, building systems oversight, compliance management, documentation, and continuous improvement, while supporting the Maintenance Manager in operational planning, budgeting, and project delivery.

Key Roles & Responsibilities

Maintenance Planning & Coordination

  • Plan, coordinate and schedule routine, preventative, and reactive maintenance activities across the entire property.
  • Implement and monitor preventative maintenance programmes to minimise downtime and improve asset performance.
  • Allocate and prioritise all inter-departmental and guest maintenance requests in a timely and cost-effective manner.
  • Oversee reactive maintenance activities to ensure efficient resolution and minimal disruption to hotel operations.

Building Systems & Compliance

  • Ensure the site and buildings remain compliant with all regulatory and statutory requirements, including ensuring the Building Warrant of Fitness (BWOF) is obtained and maintained annually.
  • Monitor and oversee building systems and plant, including but not limited to electrical, plumbing, HVAC, boilers, lifts, water, sewerage and waste management systems.
  • Support compliance with EVT policies, WH&S requirements, and safety standards, acting as a key stakeholder in the WH&S committee.

Contractor & Systems Management

  • Engage, coordinate and manage external contractors when maintenance tasks fall outside internal capabilities.
  • Oversee and manage the HUBOS maintenance request system, ensuring accurate tracking, prioritisation and closure of work orders.
  • Ensure all purchase orders and invoices are processed and managed in accordance with EVT requirements via the mybuildings property management system.

Documentation, Reporting & Continuous Improvement

  • Maintain accurate maintenance records, logs, reports and compliance documentation in line with Standard Operating Procedures.
  • Review maintenance logs regularly to identify recurring issues and implement continuous improvement initiatives to reduce repeat maintenance.
  • Develop, update and enforce maintenance procedures, guidelines, and training resources.

Leadership & Operational Support

  • Provide direction, support and training to maintenance attendants to ensure work is completed safely and in accordance with procedures.
  • Support the Maintenance Manager in operational planning, delivery of project work, budgeting, and resource management.
  • Assist with recruitment, rostering and payroll coordination for the maintenance team.
  • Assist other departments and colleagues as needed
  • Attend scheduled meetings and participate in training and development programmes.

Equipment & Safety Oversight

  • Ensure all tools, equipment and machinery are used appropriately, maintained safely, and compliant with EVT policies.
  • Monitor adherence to safety procedures by internal team members and contractors.

Skills & Experience

  • Minimum of 2 years’ experience in a maintenance role within a hotel or resort environment.
  • Demonstrated experience supporting or contributing to preventative maintenance programmes, fault reporting, and maintenance coordination.
  • Working knowledge of building systems and maintenance processes.
  • Ability to follow procedures, maintain documentation, and work in accordance with EVT policies and compliance requirements.
  • Strong organisational and communication skills, with the ability to coordinate tasks and support operational planning.
